Questions about Clio + Actionist

Which Clio plan do I need to connect to Actionist?
Actionist works with any Clio Manage plan that includes API access — this covers EasyStart, Essentials, Advanced, and Complete tiers. If you're unsure, check Settings → Developer in your Clio account; if the API Keys section is visible, you're eligible. Clio Grow (CRM) is separate and requires its own MCP server setup.
What permissions does the MCP connection request in Clio?
The MCP OAuth flow requests read and write access to matters, contacts, calendar entries, tasks, time entries, expenses, communications, and documents. It does not request access to trust accounting, firm billing settings, or user admin functions. You can review and revoke the granted scopes at any time under Settings → Connected Apps in Clio.
Can the agent create time entries that count as billable in Clio?
Yes — when the agent uses Create Time Entry, it sets the activity type and the billable flag exactly as you specify in the workflow configuration. Set billable: true and the entry will appear on the matter's unbilled time list and roll into the next invoice. If you only want the agent to log time for tracking without billing, set billable: false.
How do I avoid duplicate matters when the agent runs intake automation?
Use the Find or Create a Matter action rather than Create Matter directly. It checks for an existing matter matching your lookup criteria — client name, matter number, or custom field — before opening a new one. This is especially important for returning clients or multi-matter engagements where you want all activity on a single file.
Does Actionist support Clio's custom fields on matters and contacts?
Yes. The Find Contact by Custom Field and Find Matter by Custom Field actions let the agent look up records using any custom field you've defined in Clio. Write actions like Update Matter and Update Company Contact can also set custom field values — just include the field name and value in your workflow configuration.
How do I prevent a trigger loop where the agent's own updates fire a new trigger?
Two safeguards work in combination. First, add a workflow condition that checks whether the update originated from an API source (Actionist writes via API, so you can filter on the 'source' metadata Clio returns in the webhook payload). Second, include a idempotency check — store the matter ID and last-processed timestamp in a variable; if the trigger fires within 60 seconds of the last agent action on the same matter, skip the run.
What happens to the connection if my Clio API token is rotated or revoked?
The agent will start returning authentication errors on the next API call, and Actionist will surface a connection-health warning in the Apps tab. You can reconnect immediately by generating a new token in Clio under Settings → Developer → API Keys and pasting it into the connection settings without rebuilding any workflows. For the MCP method, simply re-authorise via the OAuth flow to issue a fresh token.
Can the agent read and upload documents stored in Clio's document library?
Upload Document to Matter lets the agent attach any file the agent can reach — a URL, a base64 payload, or a file path in the agent's workspace — directly to a matter's document library in Clio, including to a specific folder created with Create Matter Folder. Reading documents (downloading the file content) requires using the API Request (Beta) action with the /documents/{id}/download endpoint until a dedicated read action is available.
