How does Actionist connect to my Otter.ai workspace?
The recommended path is MCP: open the Apps tab, click Connect on Otter.ai, and complete the OAuth handshake in your browser. Actionist receives a scoped token that lets the agent read and write recordings, transcripts, action items, and folders without ever storing your password. If you prefer a token-based setup for server-side automation, generate an API token in Otter.ai Account Settings → Integrations & API and paste it in the API Token field instead.
What permissions does the Otter.ai connection need?
The MCP OAuth scope covers reading and writing recordings, transcripts, action items, speakers, highlights, and folders in your workspace. The agent cannot access billing settings, workspace members, or recordings shared from other workspaces that you are only a viewer of. If you connect via API token, the token inherits the same access level as the account that generated it, so use a dedicated service account if you want to limit scope.
Can the agent listen to recordings in real time while a meeting is live?
No. Otter.ai's API operates on completed recordings and transcripts — the agent reads data after Otter finishes processing, which typically takes 1–5 minutes after a recording ends. For near-real-time workflows, use the New Recording webhook trigger: it fires as soon as Otter saves the session, so the agent picks up the transcript within minutes of your meeting ending.
How do I avoid duplicate processing if the same recording triggers multiple times?
Each Otter.ai recording has a unique ID that the agent receives with every webhook event. Build your workflow with an idempotency check at the first step: store processed recording IDs in a Google Sheet or Notion database and skip any ID already in the list. The New Recording trigger only fires once per recording, but if your automation runs on a schedule (e.g., polling the recording list), the ID check is the safeguard that prevents double-processing.
Which recording formats can I import into Otter.ai via the agent?
Otter.ai accepts MP3, MP4, WAV, M4A, OGG, and most common audio and video container formats via its import API. The agent uses the Import New Recordings Into Otter action to push files from any URL or file path Actionist can access — Google Drive links, S3 pre-signed URLs, or local workspace files all work. Files must be under the size limit for your Otter plan (typically 1 GB per file for Business plans).
Can the agent search across all my Otter recordings, or just recent ones?
The Search Transcripts action searches the full text of every recording in your workspace that has been transcribed, regardless of age, as long as your Otter plan retains the data. Enterprise plans with longer retention windows give the agent a larger corpus to search. The action supports keyword queries; for semantic or concept-level search, pass the raw transcript text to an LLM step in your workflow and let it reason across the content.
What happens if speaker identification is wrong in my transcript?
Speaker detection in Otter.ai is ML-based and occasionally misattributes segments, especially on first-time voices. Use the Add Speaker to Recording action to correct the labelling programmatically. Once the agent assigns a name to a voice in a recording, Otter's model learns from that correction and is more likely to identify that voice accurately in future sessions. For high-stakes recordings (legal, compliance), treat speaker labels as best-effort and confirm with a human review step in your workflow.
How do I disconnect Otter.ai and revoke the agent's access?
Go to the Apps tab in Actionist, find Otter.ai, and click Disconnect. This removes the stored token from Actionist immediately. To fully revoke access at the Otter.ai side as well, go to otter.ai → Account Settings → Integrations & API → Connected Apps and revoke Actionist from there. Any scheduled or trigger-based workflows that rely on Otter.ai will stop executing after disconnection and will surface an authentication error so you know to reconnect.
