Call ends, CRM updates itself

When a customer success Zoom meeting ends, your agent springs into action — it retrieves the Zoom meeting summary, reads the AI-generated next steps, creates a Google Calendar event for the follow-up, and posts the full recap to Slack — all before the rep has closed their laptop. The entire post-call admin that used to eat 30 minutes now takes 45 seconds.

Connect

How to plug Zoom into Actionist

Pick the connection method that suits your environment.

The fastest path to Zoom automation. Connect via the official Zoom MCP server — your agent gains access to meetings, docs, whiteboards, and workspace data through a permissioned OAuth handshake, with no tokens to store or rotate.

1
Open the Apps tab

Find Zoom in the Apps library and click Connect. MCP is selected by default.

2
Authorise in Zoom

You'll be redirected to Zoom's OAuth page — sign in with your Zoom account and grant Actionist the requested scopes (meetings, recordings, users). Takes about 30 seconds.

3
Test the connection

Actionist runs a read-only call to verify the handshake. You're ready.

FAQs

Questions about Zoom + Actionist

How do I connect Zoom to Actionist?
Open the Apps tab, find Zoom, and click Connect — Actionist defaults to the MCP path, which uses Zoom's official OAuth flow. You'll be redirected to Zoom to authorise the requested scopes (meetings, recordings, users), then land back in Actionist ready to go. The whole handshake takes under a minute and you never touch a token.
What permissions does the Zoom integration need?
The MCP and OAuth paths request scopes for reading and writing meetings, accessing cloud recordings, managing webinar registrants, and retrieving meeting summaries. You can scope down to read-only if your agent only needs to surface data. JWT credentials (legacy) require a Zoom Marketplace JWT app — but note that Zoom deprecated JWT apps in June 2023, so prefer OAuth or MCP for any new setup.
Can my agent combine Zoom with other tools in the same workflow?
Yes — Zoom is designed as a hub in multi-app workflows. Common combinations: Zoom + HubSpot (create a meeting when a deal advances, log the summary back), Zoom + Slack (post recordings when a call ends), Zoom + Google Calendar (mirror Zoom meetings as calendar events), and Zoom + Notion (archive transcripts and summaries after every call). The step app IDs in Actionist's workflow editor cover all of these out of the box.
What Zoom objects can the agent read and write?
The agent can create, retrieve, update, and delete Zoom meetings; create meeting and webinar registrants; retrieve participant lists; fetch cloud recordings and their download URLs; get AI-generated meeting summaries and audio transcripts; and make raw API requests to any Zoom REST endpoint for advanced use cases like Zoom Phone or Reporting. Webhooks cover nine event types including meeting ended, new recording, and new registrant.
How does the agent avoid creating duplicate Zoom meetings?
Before creating a meeting, have the agent run 'Retrieve all meetings' and check for an existing entry with the same topic or time window. If a match is found, the agent can update the existing meeting rather than create a new one. For high-volume workflows (e.g. one meeting per CRM deal), store the Zoom meeting ID in the CRM record on creation so the agent can check for it before every subsequent run.
How quickly does the New Meeting Ended webhook fire?
Zoom fires the New Meeting Ended webhook within seconds of the host closing the session. Actionist receives the event in real time, so post-call automations — retrieving the summary, distributing the recording, updating the CRM — typically complete within 2–3 minutes of the meeting ending, before most participants have left their desks.
Can the agent retrieve Zoom's AI-generated meeting summaries?
Yes — Zoom's AI Companion generates a structured meeting summary (key points, decisions, next steps) after each call, and the 'Get Meeting Summary' action retrieves it by meeting ID. You can also use the 'New Meeting Summary' webhook trigger so the agent acts the moment the summary is ready — useful for automatically populating CRM notes or creating action-item tasks without waiting for a scheduled poll.
Does Zoom rate-limit API calls, and how should the agent handle it?
Zoom's API enforces rate limits per credential: the baseline is 30 requests per second for most endpoints, with lower limits on reporting endpoints. For high-volume workflows (e.g. registering hundreds of webinar attendees), use Actionist's built-in throttle step to space requests at 20 per second. If the agent receives a 429 response, it will retry with exponential backoff automatically — no custom error handling required for standard workloads.
