How do I connect Zoho CRM to Actionist?
Open the Apps tab in Actionist, find Zoho CRM, and click Connect. The default method is MCP, which walks you through a Zoho OAuth authorisation — select your data centre region (US, EU, AU, IN, or CN) and grant the scopes you need. The connection is verified with a read-only test call. The whole process takes under two minutes and no tokens need to be managed manually.
What permissions does Actionist need in Zoho CRM?
The required scopes depend on what you want the agent to do. For read access to leads, contacts, accounts, and deals, grant ZohoCRM.modules.READ. For full create/update/delete operations, grant ZohoCRM.modules.ALL. If you only need specific modules, Zoho supports per-module scope granularity — for example ZohoCRM.modules.leads.ALL limits the token to the Leads module only. Grant only what your agents actually need.
Can my agent work with custom modules and fields in Zoho CRM?
Yes. Zoho CRM's API exposes all custom modules and custom fields through the same endpoints as standard objects. Your agent can read and write to any custom field using the field's API name, and can create records in custom modules using the Create Record action. Use the Get lead fields action to inspect the full schema of the Leads module including your custom additions before authoring field-mapping logic.
Will my agent create duplicate leads or contacts?
Not if you use the upsert action. The 'Create a new record, or update the current one if it already exists' action matches on a unique field — typically email for contacts and domain for accounts — and updates the existing record rather than creating a new one. For lead deduplication, consider running a Get all leads filter by email before creating, or use Zoho CRM's native duplicate-check rules alongside the agent's upsert call.
How does the New Record trigger work, and does it fire for all modules?
The New Record trigger fires via Zoho CRM webhook whenever a new record is created in the module you configure — Leads, Contacts, Deals, Accounts, or custom objects. You set the webhook URL in Zoho CRM under Setup → Automation → Webhooks, pointing it at your Actionist workflow. It fires in near-real time (typically under 5 seconds) after the record is saved. One webhook per module; create multiple workflows if you need to react to new records in several modules simultaneously.
Can my agent avoid trigger loops when it updates a Zoho CRM record that has a webhook on it?
Yes — two safeguards work well together. First, set a custom field on Zoho CRM records to flag agent-initiated writes (e.g. 'Agent Updated: true'), and add a condition to your Actionist workflow that skips execution if that flag is already set. Second, use Zoho CRM's webhook filter criteria to fire only on human-originated saves (you can filter by source in Zoho's webhook conditions). Either approach alone prevents infinite loops; both together make it bulletproof.
Does Actionist support Zoho CRM's region-specific data centres?
Yes. Zoho CRM hosts data in five regions — US (zohocrm.com), EU (zoho.eu), Australia (zoho.com.au), India (zoho.in), and China (zoho.com.cn). When connecting via OAuth, select the region that matches your Zoho account's data centre. If you use the API token method, use the corresponding regional access token URL for your region's Zoho accounts domain. Connecting to the wrong region returns a 401 error.
What Zoho CRM objects can my agents create quotes and invoices for?
Your agents can create and update quotes, invoices, sales orders, and purchase orders natively in Zoho CRM — all are first-class objects with their own module actions. Quotes link to deals and contacts; invoices and sales orders link to accounts and products; purchase orders link to vendors. The Create a quote action generates a quote with line items and an expiry date. The Create an invoice action converts a quote or deal into a billable invoice. All four document types can be read, updated, and deleted by your agents as well.
