EmailSalesMarketingCRMAutomationCommunicationAnalytics

Reply-to-booked meeting in under 2 minutes

When a positive reply lands in an Instantly-monitored inbox, your agent reads the message, updates the lead's status to 'Interested', pulls their full history from the campaign, posts the hot-lead alert to the CS channel in Slack, and drops a calendar invite link into Google Calendar — all before the rep finishes their coffee. No leads cool off waiting for a human to triage their inbox.

What your team gets back — two angles: what you stop doing manually, and what that's worth.

Without Actionist

What you do manually today

With Actionist

What your agent runs for you

  • Sales
    18 min / week
    Manual reply triage

SDRs scan inboxes to classify each reply, update lead status in the CRM, and decide the next step — 3–5 minutes per reply across dozens daily.

    Sales Agent
    0 min
Agent classifies and routes every reply

The agent reads each Instantly reply, sets the lead status, alerts the rep in Slack, and books a calendar slot — all within seconds of the webhook firing.

  • Marketing
    13 min / week
    Campaign tagging clean-up

After each sprint, someone manually audits campaign tags to remove stale labels and apply current ones — easy to skip, easy to forget.

    Marketing Agent
    0 min
    Agent keeps tags current automatically

On sprint boundaries the agent removes expired tags and applies new ones across all active Instantly campaigns, keeping segment data accurate without human effort.

  • Customer Support
    18 min / week
    Opt-out compliance logging

Support reps manually remove unsubscribed contacts from sequences and log opt-outs to a compliance spreadsheet — a repetitive, high-stakes task prone to gaps.

    Customer Support Agent
    0 min
Agent enforces opt-out in under 10 seconds

When an Instantly unsubscribe event fires, the agent removes the lead from all campaigns, writes the opt-out to the Notion compliance log, and marks the CRM record — guaranteed every time.

  • Human Resources
    7 min / week
    Recruiter outreach re-routing

When a recruiter leaves, HR manually re-assigns their Instantly campaigns and updates lead statuses — a slow, error-prone handover.

    Human Resources Agent
    0 min
Agent re-tags and re-assigns on departure

When an HR system flags a recruiter's departure, the agent re-tags their leads and pauses active campaigns pending the new owner's review — clean handover, no missed candidates.

  • Finance
    13 min / week
    Campaign cost attribution

Finance manually exports Instantly analytics and maps send volume to team budgets each month — fragile spreadsheet work with a high risk of misattribution.

    Finance Agent
    0 min
    Agent delivers weekly attribution report

Every Monday the agent pulls Instantly campaign metrics by tag and appends cost-per-reply and send-volume rows to the finance Google Sheet automatically.

  • Operations
    25 min / week
    Lead list verification

Before each campaign launch, ops manually verifies imported email addresses using external tools and cleans the list — taking hours on any batch over 200 contacts.

    Operations Agent
    0 min
Agent verifies and enrols in one pass

When a new contact sheet lands, the agent verifies every address via Instantly, drops invalid ones, enrols the rest in the right campaign, and logs the audit trail to Notion.

  • Legal
    6 min / week
    GDPR opt-out audit

Legal periodically audits Instantly blocklists and opt-out logs to confirm GDPR compliance — a manual pull from multiple sources with no guaranteed cadence.

    Legal Agent
    0 min
Agent maintains a real-time compliance log

Every opt-out and blocklist addition is logged by the agent to a timestamped Notion compliance record the moment the Instantly event fires — audit-ready at all times.

FAQs

Questions about Instantly + Actionist

How does Actionist connect to Instantly?
The recommended path is MCP: open the Apps tab, click Connect on Instantly, authorise in one OAuth step, and the agent has full access to your campaigns, leads, and analytics. If you prefer direct API access, paste your Instantly API key (Settings → Integrations → API Keys) and the connection is live immediately.
Which Instantly objects can the agent read and write?
The agent can read lead records, campaign analytics, and campaign lists. It can write to lead status, campaign enrolment, tags (on both accounts and campaigns), and the blocklist. It can also pause and resume campaigns. Instantly's underlying webhooks let the agent react to replies, bounces, opens, and opt-outs in real time.
How do I stop the agent from sending emails to existing customers?
The safest approach is a two-step guard: first, add your customer domain(s) to the Instantly blocklist via the 'Add to Blocklist' action when a deal closes; second, set up a workflow that triggers on your CRM's 'Closed Won' event and calls 'Remove Lead From Campaign' for that contact. Together these prevent both new and re-engaged outreach to paying accounts.
Can the agent react to every type of Instantly event or only replies?
The 'New Event' trigger covers all Instantly webhook events: replies, opens, bounces, hard bounces, unsubscribes, and link clicks. In your workflow you filter by the event type field to route each signal to the right logic — e.g. bounces to a blocklist check, replies to a CRM status update, and unsubscribes to a compliance log write.
How does the agent verify email addresses before enrolling leads?
Use the 'Verify Email Address' action before any 'Add Lead to Campaign' step. The action returns a validity score ('Valid', 'Risky', 'Invalid'). Set your workflow to only enrol addresses scored 'Valid', move 'Risky' ones to a manual review list, and skip 'Invalid' addresses entirely. This protects your sending domain's reputation before a single email goes out.
Will the agent trigger a reply loop if it responds to Instantly events?
Not if you filter on event type before any outbound action. Only process 'reply' events that contain human-written text (check that the reply body isn't an auto-responder string). Never fire 'Add Lead to Campaign' in response to a campaign event from the same campaign — always target a different sequence or use a status update as the sole output for that branch.
What happens to leads already in a campaign when I pause it?
Pausing an Instantly campaign freezes all queued email steps for enrolled leads — nothing is sent, nothing is deleted. Lead status, tags, and position in the sequence are all preserved. When the agent resumes the campaign, every lead continues from exactly where they left off. Pausing is safe to use as a hold mechanism for compliance reviews or holiday blackouts.
Can I use Actionist to manage multiple Instantly workspaces?
Yes — connect each workspace as a separate Instantly integration in Actionist's Apps tab, each with its own credentials. In your workflows, specify which connected account to use for each action. This lets you run isolated sequences for different brands, regions, or clients from a single Actionist agent without cross-contamination of leads or campaign data.
