Once connected via MCP, the agent can read and write reservations, folios, payments, guest profiles, units, housekeeping statuses, rate plans, and live availability — the full surface area of Apaleo's open API. Read operations never modify your PMS data; write operations are logged in the Actionist run history with timestamps.
Which Apaleo properties can the agent access?
During the OAuth handshake you select which property or portfolio the agent can reach. If your Apaleo account manages multiple properties you can restrict the agent to a single property or grant portfolio-wide access — scoping is set at connection time and can be updated in the Apps tab.
Will automated check-ins or checkouts affect my channel manager or OTA sync?
Yes — Apaleo propagates status changes through its open API, which your channel manager reads. If the agent checks in or checks out a reservation, Apaleo's own channel manager sync will update inventory counts accordingly. Run write actions only after confirming the downstream sync is in place to avoid phantom availability showing on OTAs.
How do I avoid posting duplicate folio charges?
The agent can be instructed to read the folio first and check for an existing charge of the same service type before posting. For automated charge workflows (mini-bar, late checkout), build a deduplication step that queries the folio for that service code on that date — if it already exists, the agent skips the write and logs a notice to Slack instead.
Can the agent handle multi-property portfolios?
Yes, provided the connected Apaleo account has portfolio-level access. The agent passes the property ID on every API call, so you can build workflows that iterate across properties — pulling occupancy for all sites, flagging maintenance blocks portfolio-wide, or running a nightly audit per property. Scope each run to a specific property ID to keep actions predictable.
What happens if a reservation action fails mid-workflow?
Actionist logs the failed step with the Apaleo error code and halts the workflow without retrying write actions automatically — preventing partial states like a checked-in status with no unit assigned. You can inspect the run in the Actionist history, correct the underlying issue (e.g. no available unit), and re-trigger the step manually.
Does connecting Apaleo require a specific subscription tier?
Apaleo's API is available to all active subscribers; there is no separate API add-on. You will need an Apaleo account with admin access to create an OAuth client or API client in the developer settings. Check your Apaleo plan for any API call-rate limits that may apply during high-volume automated runs.
Can I disconnect Apaleo without losing my workflow history?
Yes. Disconnecting Apaleo removes the live credential and pauses any active automations that depend on it, but your workflow configuration and run history are preserved in Actionist. Reconnecting with a new credential restores the workflows immediately — no reconfiguration needed.
