Your files, your rules — automated end to end

StorageProductivityDocumentsSecurityAutomation

Nextcloud is the open-source, self-hosted platform that puts your organisation's files, contacts, and calendar entirely under your own roof. Connect it to Actionist and your agents can upload reports, organise client folders, share deliverables via time-limited links, and manage user accounts — all without anyone touching the admin panel. Whether you're running Nextcloud on-premises or in your own cloud, the agent treats every folder as an action surface it can read, write, and restructure in seconds.

Eliminates manual work. Nextcloud automation eliminates the manual folder sorting, permission assignments, and file-distribution steps that interrupt knowledge workers every time a project, client, or employee changes state.

Client onboarding folder, live in 60 seconds

When a new client email arrives in Gmail flagging a signed contract, your agent downloads the signed PDF from the email, uploads it to a fresh /Clients/ClientName/Contracts/ folder in Nextcloud, creates a dedicated onboarding workspace with the standard subfolder structure, and drops a Google Calendar kickoff event — all before you've finished reading the message. The client Slack channel gets a pinned link to the folder, so the entire CS team is oriented from minute one without a single file-management step.

Connect

How to plug Nextcloud into Actionist

Pick the connection method that suits your environment.

The fastest path to your self-hosted Nextcloud. Install the Nextcloud MCP server once and the agent reaches your files, folders, and users through a permissioned connection — no tokens to rotate, no WebDAV URLs to manage.

1
Open the Apps tab

Find Nextcloud in the Apps library and click Connect. MCP is selected by default.

2
Point to your Nextcloud instance

Enter your Nextcloud server URL (e.g. https://cloud.yourcompany.com). The MCP server uses your existing Nextcloud session to authenticate — no extra credentials required.

3
Test the connection

Actionist runs a read-only call to verify the handshake. You're ready.

FAQs

Questions about Nextcloud + Actionist

How do I connect Actionist to my self-hosted Nextcloud?
Use the MCP method — it's the fastest. In the Apps tab, click Connect on the Nextcloud card, enter your Nextcloud server URL, and Actionist's MCP server handles the auth handshake. For headless or scripted access, use API Token mode: generate an app password in Nextcloud Settings → Security → App passwords and paste it in along with your WebDAV URL.
What credentials does Actionist need, and how are they stored?
For API Token connections, Actionist needs your Nextcloud username, an app password (not your main password), and your WebDAV URL. App passwords are scoped to Actionist and can be revoked at any time from Nextcloud Settings → Security. Credentials are encrypted at rest and never logged in plaintext.
Can I automate workflows that combine Nextcloud with Slack, Gmail, or HubSpot?
Yes — that's exactly the use case. Actionist can watch for a Gmail trigger, create a Nextcloud folder, share it, and notify a Slack channel in one unbroken workflow. Every app-to-app step is handled by the agent; you describe the outcome and the agent handles the plumbing across all connected tools.
What Nextcloud objects can the agent read and write?
The agent covers Files (copy, delete, download, move, share, upload), Folders (copy, create, delete, list contents, move, share), and Users (invite, delete, retrieve, list, edit attributes). It can also react to Nextcloud events like file uploads, folder creation, and user provisioning via the trigger layer.
How do I avoid the agent accidentally deleting the wrong files?
Scope your workflows tightly: always specify the exact folder path in each action rather than using root-level wildcards. For delete operations, build in a listing step first so the agent reads the folder contents before removing anything. You can also add a confirmation step that logs the target file list before the delete runs — giving you an auditable record if you ever need to recover.
Does Actionist work with Nextcloud running on-premises, not just cloud?
Yes. As long as your Nextcloud instance is reachable from Actionist (via a public URL or VPN), the connection works identically whether you're on a self-hosted server, a managed cloud provider, or Nextcloud's own hosting. The WebDAV and MCP paths both resolve against whatever base URL you configure.
Can I set up event-driven workflows that react to Nextcloud file activity?
Yes — Nextcloud triggers fire on file uploads, deletions, shares, folder creation, folder shares, user invitations, and user deletions. Point a trigger at a specific folder path to scope it; without scoping it watches the entire instance. Pair a file-uploaded trigger with a downstream processing step to build fully reactive pipelines without polling.
How does the agent handle Nextcloud storage quotas and permissions?
The agent reads and sets user quotas via the Edit attributes action and checks folder permissions before sharing. If a share would violate a quota or permission boundary, the action returns an error that the agent surfaces in the workflow log. Build a retrieve-user step before bulk operations to check quota headroom and avoid hitting limits mid-run.
